1. Private Service Disclosure
US Motor Carriers Compliance Office LLC (USMCCO) is a private third-party administrative service provider. We are not affiliated with the U.S. Department of Transportation (USDOT), the Federal Motor Carrier Safety Administration (FMCSA), or any government agency.
We provide filing preparation and administrative submission support for a fee.
2. Scope of This Policy
This policy applies to all purchases made through our website, by invoice, or by phone for compliance-assistance services, document preparation, and regulatory filing support.
Because administrative work often begins shortly after payment is received, certain services may become non-refundable once processing has started.
3. 24-Hour Cancellation Period
You may cancel your order within 24 hours of payment for a full refund, provided that work has not yet begun.
To request cancellation, email info@usmccoffice.com and include:
- Invoice number
- Full name
- USDOT number (if applicable)
- “Cancellation Request” in the subject line
4. When Work Is Considered Begun
Administrative processing is considered to have commenced once any of the following occurs:
- Order details are reviewed by a representative
- A filing draft or document is prepared
- Access to FMCSA systems is initiated using client credentials
- Electronic or manual submission to FMCSA has begun
Once processing has commenced, the service is considered in progress.
By completing payment, the client authorizes USMCCO to begin administrative preparation immediately.
5. Refund Eligibility
Situation
Refund Outcome
1 – Cancel within 24 hours & before work begins
2 – Cancel after preparation but before submission
3 – Filing already submitted to FMCSA
4 – Verified duplicate payment
1 – Full refund (100%)
2 – Partial refund (service fee minus $25 administrative cost)
3 – No refund
4 – Full refund of duplicate amount
6. Non-Refundable Services Once Initiated
The following become non-refundable once processing has begun:
- MCS-150 filings or updates
- Unified Carrier Registration (UCR) filings
- FMCSA PIN retrieval or system access
- Expedited or priority processing
- Manual or fax submissions
- Consultation calls exceeding 15 minutes
Expedited processing fees compensate for immediate administrative allocation and are non-refundable once processing has commenced.
7. Client Responsibility
Clients are responsible for ensuring the accuracy of all information provided.
Refunds will not be issued for delays, rejections, or resubmissions required due to inaccurate, incomplete, or outdated information supplied by the client.
8. Government Processing Delays
USMCCO is not responsible for processing delays caused by FMCSA, USDOT systems, UCR boards, or third-party systems.
Once a filing has been submitted, external processing delays do not qualify for a refund.
9. Billing Concerns & Dispute Resolution
If you believe a billing error has occurred, please contact us at info@usmccoffice.com before initiating a chargeback.
We are committed to resolving legitimate concerns promptly.
USMCCO reserves the right to dispute chargebacks for services that have been rendered in accordance with this policy.
10. Duplicate or Unauthorized Charges
If you believe you were charged twice or charged in error, notify us immediately.
Verified duplicate charges will be refunded to the original payment method within 5–10 business days.
11. Policy Updates
This policy may be updated periodically. Changes take effect upon posting on our website.
Continued use of our services constitutes acceptance of the updated terms.
